Send receipts with a QR code

Print your organization's poster. Anyone who scans the code sends receipts from the upload page.

Set up and print the poster

An admin sets up the QR code once. Every plan includes the code, Starter too. The poster opens your organization’s upload page, and the page offers the names on your People list.

  1. Add everyone who sends receipts on People first. A person missing from People never appears on the upload page. See People and reimbursements.

  2. Open SettingsIntegrationsQR code and press Turn on the QR code.

    Turn on the QR code
  3. Press Print the poster. SlipInbox opens a page ready for the printer, with your organization’s name, the code and three steps telling people what to do.

    Print the poster
  4. Put the poster up where people pay or come back with receipts.

Good spots: the front desk, the dashboard of each van, the site office and the staff room. Print a copy for each place, since every copy holds the same code.

Scan and send

Anyone with a phone camera sends receipts this way. No account, no app and no password.

  1. Point the phone camera at the code and open the link. The upload page opens in the browser.

  2. Under Your name, choose yourself from the list.

  3. Take a photo of the slip, or pick photos and PDFs from the phone. Send up to 10 files at a time, each up to 10 MB.

    Take photo
  4. Press Send.

After you send

Each file becomes a receipt in your organization’s list, with QR code as the source and your name under From. SlipInbox reads the receipt the same way as an upload. A flat slip in good light reads best, see Take a readable photo.

  • Your name missing from the list means you aren’t on People yet, or an admin turned you off. Ask an admin to add you, then scan again.
  • The page refuses new receipts when the code is off, when the month’s receipt allowance is used up, or while your organization’s billing is closed.

Replace or turn off the code

Turning off and replacing both sit in QR code actions, the menu beside the code in SettingsIntegrationsQR code.

Turn the code off for a pause, say over a holiday shutdown. The poster stays valid, and choosing Turn on opens the page again.

Replace the code when a poster ends up somewhere public, or when someone outside the team holds a photo of the poster. Choose Replace QR code and confirm. SlipInbox issues a new code straight away.

The old code stops working on the spot, on every printed copy. Print the new poster and take the old ones down the same day.

Receipts sent before the change stay as they are.
