Who contacts are
Contacts are people who can forward receipts by email to your organization’s forwarding address, such as drivers, site managers or a supplier. They don’t sign in and have no account. Only admins manage contacts.
Your team members don’t need to be contacts: emails from the address they sign in with are read anyway. See Forward receipts by email.
Add a contact
Open SettingsContacts and press Add contact.
Enter their Name and Email. Press Add email for each other address they send from.
Under More details, you can add their Department, a Description, and the Team member they are, if any.
Press Add contact. Emails from their addresses are read straight away.
Emails from people who aren’t contacts wait under Unknown senders until an admin decides; see Decide on unknown senders.
Disable or delete an email
Open a contact to change their details or emails. Each email shows Active or Disabled, with a menu beside it:
- Disable stops taking receipts from that address. Emails from it are ignored, not held for you to decide. Enable takes receipts from it again.
- Delete removes the address from the contact. Emails from it then wait under Unknown senders.
Statuses and removing a contact
The contact list shows one status per contact:
- Active
- At least one of their emails can forward receipts.
- Disabled
- Every one of their emails is disabled.
- No channels
- They have no email yet, so they can’t forward anything.
To remove someone, open the contact, press Remove, then confirm with Remove contact.
