A driver at a fuel station has one free hand and two minutes. Downloading an expense app, remembering a password and filling in a form never happens there. Taking a photo and pressing Send does.
Add each driver or technician on People with the WhatsApp number or email on their phone. They send the photo to SlipInbox's WhatsApp number, or email the photo to your organization's address, and SlipInbox files every receipt under their name.
On WhatsApp, the driver gets one reply once the photo is read: the merchant, date and total, or a request for a clearer photo. Email forwarding and WhatsApp come with the Business and Enterprise plans.
On every plan, tape a QR code poster inside each van. The driver scans the code, picks their name from People and sends the photo from the phone browser, with no account and no app.
Fuel, tolls, parts and meals, read for you
SlipInbox reads the merchant, date and time, total, VAT and currency, plus each line on the slip. Fuel litres, part numbers and meal items land as line items under the receipt.
Categories learn from your corrections. Set the category for one receipt from a fuel station, and every later receipt from the same station arrives with the same category.
Vehicle, job or site on every receipt
On the Business and Enterprise plans, add a custom field such as Vehicle registration or Job number. Describe where the value shows on the slip, such as handwritten at the top, give one example, and SlipInbox reads the field on every receipt. Export the field as its own column.
Company card or own money
Save the last four digits of the personal cards each person pays with on their contact. A receipt paid with one of those cards suggests the person under Pay back to, and Reimbursements shows what each person is owed. Company fuel card receipts stay unassigned.
A rule such as Cash payment over 1,000 or Weekend spend flags the receipts worth a question before anyone approves them.
Across borders
Cross-border routes mean receipts in more than one currency. SlipInbox reads the currency printed on each slip. A slip with no currency, from a country using a different one, gets your receipt currency and a review flag, so a figure in rand never passes as a figure in dollars.
Questions
Do drivers need to install anything?
No. Drivers send a photo on WhatsApp or by email from the phone they already carry. Staff who sign in add SlipInbox to the home screen from the browser, with no app store involved.
How does a driver start sending on WhatsApp?
An admin adds the driver's number on People. The driver opens the verification link, or scans the QR code, and presses send in WhatsApp. From then on, every receipt photo the driver sends files under their name.
What if the photo is blurry?
Receipts with unreadable fields land in Needs review with the photo attached. Someone in the office reads the slip from the photo and fills in the gap.
What if a driver sends from a new email address?
The email waits under Unknown senders. An admin adds the new address to the driver's contact, and SlipInbox reads the waiting email.
