How SlipInbox turns receipts into expense data

A receipt goes in on WhatsApp, by email, from a QR code poster, with the camera or as an upload. A checked, approved row comes out in a CSV or Excel file. Here is every step in between.

1. Send the receipt in

Every organization on the Business and Enterprise plans gets its own forwarding address, such as acme-4821@in.slipinbox.com. Anyone you add on People forwards receipt emails there from their usual inbox. They never create an account or install anything.

On the same plans, people send receipt photos on WhatsApp. An admin adds their number on People, they verify the number once from their phone, and every photo they send to SlipInbox's number becomes a receipt from them, with a reply once the receipt is read.

On every plan, an admin prints a QR code poster for the front desk, the van or the site office. Anyone who scans the code opens your upload page, picks their name from People and sends the photo, with no account and no app.

Your team adds receipts in the workspace too. On a phone, the camera opens straight from the Add receipt button. On a computer, drop in photos or PDFs, up to 10 files at a time.

  • Photos and PDFs sent on WhatsApp
  • Photos and PDFs sent from the QR code upload page
  • PDFs and photos attached to an email
  • Online order confirmations, read from the email text when nothing is attached
  • Phone photos of paper slips, with a warning when a shot is blurry, dark or washed out

2. SlipInbox reads the details

Each receipt becomes a row with the merchant, date, category, subtotal, VAT, total and currency filled in. Line items come through when the slip lists them. The photo stays attached, so anyone checking the row sees the original beside the numbers.

Categories learn from you. Correct the category on one receipt from a merchant, and the next receipt from the same merchant gets the same category.

3. Your team checks what needs checking

Clear receipts arrive marked Ready. Anything doubtful arrives marked Needs review, with a note saying what looked wrong: a faded total, a date which looks wrong, VAT which fails to add up, or a receipt resembling one you already have.

Fix the field the note names and the doubt clears. If reading fails outright, SlipInbox keeps the photo, and an admin either reads the receipt again or types the fields in.

4. Approve or reject

Admins and accountants decide on each receipt. Approve marks a receipt ready for the books. Reject keeps a personal purchase or a stray file out of the books for good.

For a pile of receipts, the review queue shows one receipt at a time with the photo beside the fields, and runs from the keyboard. Rules flag receipts over an amount, or hold them for a named person's approval.

5. Export a spreadsheet

Filter the list to Approved, or to a month, and download the receipts as a CSV or Excel file. Pick the Simple layout, the Accountant / VAT layout, or build your own from more than 30 columns.

Hand the file to whoever keeps the books, or import the file into your accounting software. SlipInbox stops at the spreadsheet. SlipInbox is not accounting software and never pretends to be.

Questions

Do the people sending receipts need an account?

No. Add them on People, and they forward receipts from their own email, send photos on WhatsApp, or scan your QR code poster and pick their name. Only the people who check, approve and export sign in.

Does SlipInbox reply to the sender?

Never by email. SlipInbox sends no confirmation and never emails the amounts back to the sender or anyone else. A WhatsApp photo gets one reply once read.

What happens to email from a stranger?

Mail from an address SlipInbox doesn't know waits, unread, until an admin allows or blocks the sender. The sender hears nothing either way.

Which file types work?

Photos (including iPhone HEIC) and PDFs up to 10 MB each, and PDFs up to 15 pages.

Stop retyping receipts.
