Receipt management for small businesses

Your staff pay for fuel, stock and lunches with their own money and hand you crumpled slips at month end. SlipInbox turns the envelope into a list you check in an afternoon.

The month-end envelope

Receipts travel in pockets. Some reach the office, some fade on a dashboard, and some arrive as a photo in a chat thread with no date attached. Somebody then types the lot into a spreadsheet, chases the missing ones, and works out who to pay back.

SlipInbox moves the typing to the receipt itself. The person who paid sends the receipt the day they get the slip, and the row is waiting for you.

Nothing new for your staff to learn

Staff with a phone and WhatsApp or an email address are ready. Add them on People and they send receipt photos to SlipInbox's WhatsApp number, or forward receipts to your organization's address, on the Business and Enterprise plans. On every plan, a QR code poster by the till or in the back office lets anyone on People scan, pick their name and send the photo. Staff who check or approve receipts get an account, with one of three roles.

  • Employees add receipts and see only their own
  • Accountants check, approve, reject and export
  • Admins also run the team, contacts, rules and settings

Know who to pay back

Mark who paid on each receipt under Pay back to. Reimbursements then lists what you owe each person, per currency, with the approved receipts behind each amount. Pay by bank transfer or cash as usual, tick the receipts you covered, and record the payment.

Save the last four digits of a person's card on their contact, and receipts paid with the card suggest the right person for you.

See where the money goes

The dashboard shows this month's receipts, the total spent, the largest receipt and what still needs a look. Reports compare any period with the one before, by category, merchant, branch, contact and day of the week, so a jump in fuel or office supplies shows up before the quarter ends.

Keep your accounting software

SlipInbox stops at a checked spreadsheet. Your accountant keeps the books in whatever they use today, and receives a CSV or Excel file of approved receipts with the photos one click away.

Questions

How much does SlipInbox cost?

SlipInbox has three plans, Starter, Business and Enterprise, with prices on the pricing page. Each plan starts with a 14-day trial capped at 25 receipts. People who only send receipts by email, WhatsApp or the QR code never count toward your team limit.

Do my staff need smartphones?

A phone with a camera is enough. Staff without email or WhatsApp scan your QR code poster and send the photo from the upload page.

Is SlipInbox accounting software?

No. SlipInbox reads, checks and exports receipts. Your accountant or accounting software takes the spreadsheet from there.

Stop retyping receipts.

Every plan starts with a 14-day trial. Add your first receipt within minutes of signing up.
