Who approves
SlipInbox has three roles. Employees add receipts and see their own. Accountants and admins see every receipt, check them, and approve or reject. Admins also manage the team, contacts and settings.
People who only send receipts by email, WhatsApp or the QR code poster hold no role at all. They never see the workspace, and nobody needs to train them.
Three ways to decide
Open a receipt and press Approve or Reject beside the title. On a phone, both buttons sit at the bottom of the screen.
Tick up to 100 receipts in the list and approve or reject them in one go.
Or open the review queue: one receipt on screen, photo on the left, fields on the right. Press A to approve, R to reject, and the arrow keys to skip. A receipt with doubts takes two presses of A, one to mark the receipt checked and one to approve, so a single keystroke never sends a doubtful receipt to the books.
Rules for the receipts worth a second look
Admins write rules on every plan. Each rule holds conditions which all must match, and does one of two things: flags the receipt for everyone to see, or leaves the approval to a member you name. Rules teams often start with:
- Large total: flag anything over 5,000
- Old receipt: flag slips dated more than 60 days back, with a note asking why
- Weekend spend
- Missing tax ID on totals over 500
- Alcohol on the slip: wine, beer or spirits among the line items
- Cash payments over 1,000
- Needs the finance lead: totals over 20,000 wait for one named person
Sign-off from a named person
An approval rule greys out Approve for everyone except the named member and admins, with a note such as Needs Jane Banda's approval first. When two approval rules match, both people sign off, and SlipInbox records each approval as the approvals come in.
Anyone with approval rights still rejects. If the named person leaves the team, the rule falls back to a plain flag and asks an admin to pick a new approver.
Decisions stay put
An approved or rejected receipt locks. Nobody edits the fields, reads the receipt again or deletes the receipt until someone with approval rights reopens the receipt. Every step lands in the receipt's history with a name and a time.
Questions
Who approves receipts in SlipInbox?
Admins and accountants. Approval rules narrow the choice to a named member for receipts you pick, such as anything over 5,000.
Do employees see each other's receipts?
No. Employees see the receipts they added and the receipts sent in on their behalf.
Does SlipInbox pay people back?
SlipInbox tracks reimbursements. Name who paid on a receipt, and Reimbursements lists what you owe each person. You pay by your usual method, then mark the receipts paid back.
