Edit a receipt

Change any field on the receipt page. What you change is kept from then on.

The receipt page

Open a receipt from Receipts to see the photo or PDF beside its fields. On a phone, the photo comes first. Open the photo to see it larger, and use Zoom in, Zoom out and Fit to check small print.

The fields sit on cards:

  • Total and Category: The total in its currency, and the category.
  • Merchant: Name, Known as (the merchant it belongs to), Location, Tax ID, Phone, Address, Website and Email.
  • Purchase: Date, Time, Paid by, Card, Receipt no., QR link and Currency.
  • Items: What was bought, with the subtotal, VAT, discount, tip and total under it.
  • Additional information: The country and any custom fields your organization reads.
  • Notes: Anything you want to add in your own words.
  • Submission: Reference (such as R-00042), Added by, Contact, Source and Received.
  • History: Each reading and each change people made, with who and when.

Change a value

  1. Point at the value and press the pencil beside it. On a touch screen, tap the value. An empty field shows Add.

  2. Type the new value, or choose one from the list for fields such as Category, Paid by and Location.

  3. Press Enter or click away to save. Press Esc to cancel.

In Notes, Enter starts a new line, so save with Ctrl + Enter (Cmd + Enter on a Mac) or by clicking away.

Merchant details the slip didn’t show are folded away under one line that names them. Open it to add one.

If a value can’t be saved, the field says why, for example:

  • Enter a valid date.
  • Enter the time as HH:MM.
  • Use a 3-letter currency, such as ZMW.
  • Enter the total as a number.

What your changes do

A value you change is yours from then on: reading the receipt again never overwrites it. The History card records what you changed. See Read a receipt again.

Some changes also teach SlipInbox about the merchant:

  • Choosing a category makes it the merchant’s category, so later receipts from it get it on their own.
  • Correcting the merchant’s name teaches SlipInbox that spelling, so later slips find the same merchant.
  • Choosing a location teaches SlipInbox which branch slips with this phone number and address come from.
Admins can add a category from the picker with New category. See Categories and Merchants and their branches.

Who can edit, and when

Admins and Accountants can change a receipt. Employees can open the receipts they sent but can’t change them.

Two things stop changes for a while:

  • While the receipt is being read, the page says “This receipt is still being read. Try again when it has finished.”
  • Once a receipt is approved, rejected or exported, it is frozen: “This receipt is decided. Reopen it to change it.” Press Reopen to edit to change it.
Reopening takes the receipt out of its decision, so approve it again when you’re done. Only an admin can reopen an exported receipt. See Approve, reject and reopen.
