Choose the columns in an export

Use a built-in layout or make your own, with just the columns your books need.

Built-in layouts

A layout is the set of columns an export writes. Every organization has two built-in layouts, which you can use but not change:

Simple
Receipt date, Merchant, Category, Total, Currency, Submitted by, Notes, Receipt link
Accountant / VAT
Reference, Receipt date, Merchant, Category, Subtotal, VAT, Total, Currency, Receipt number, Merchant tax ID, Paid by, Merchant legal name, Receipt link

Pick a layout under Columns in the Export menu. Your browser remembers the one you picked last. See Export to CSV or Excel.

Add your own layout

  1. Open SettingsExports, or choose Set up layouts in the Export menu.

  2. Under Your layouts, press Add layout.

  3. Give it a Name of up to 48 characters. It can’t share a name with a built-in layout or another of yours.

  4. Under Columns, tick the columns you want. A new layout starts with the Simple columns ticked; Select all and Clear help when you want most or few.

  5. Press Add layout. It now shows in the Export menu for everyone who exports.

To change a layout, open the menu on its row and choose Edit. To delete it, choose Remove. Exports already downloaded keep their columns.

The order of columns

Columns always come out in the same order, whatever order you tick them in, so a file has the same shape every time. A column you chose is written even when it is blank for every receipt. The order is:

Your custom fields come just before Receipt link, which is always last. Receipt link holds the web link printed in the receipt’s QR code, such as a tax authority’s invoice check page, when it has one.

Custom fields as columns

  • Each custom field can be a column of its own; tick it like any other. See Custom fields.
  • When you remove a custom field, it leaves every layout that had it.
A layout made only of removed custom fields has no columns left, and exporting with it stops. Edit it to choose columns again.
Admins and accountants can add, edit and remove layouts.
